Job Responsibilities

The Golder Associates Kelowna location requires a full-time Office Services Coordinator. The successful candidate will administer and coordinate the operational responsibilities of Kelowna office and provided varied administrative support to local and regional staff. Duties will include, but will not be limited to the following.

  • Greeting internal and external clients and assisting with phone and in-person inquiries relating to the business and the office.
  • Authorize and schedule all aspects of building maintenance resulting in few or minor operating disruptions. Independently solve problems as they arise.
  • Procure services and supplies for building maintenance following established protocols and applying fiscal prudence.
  • Collect, check, scan incoming invoices. Review, code and approve facility related expenses.
  • Consult and communicate with the Office Lead on routine and non-routine building and office matters.
  • Provide general facilities administration support including responding to calls, shipping and receiving requests, security and phone functions.
  • Provide meeting and workshop support including booking rooms, catering and set up/take down.
  • General administrative duties such as travel arrangements, maintaining office calendars, running errands as needed, filing and file creation.
  • Orient new staff on office culture, procedures and train on local and regional procedures as needed.
  • Word processing for local and regional consultants. Prepare, save and print documents for client delivery following established procedures and guidelines.
  • Assist in maintaining equipment inventory using Golder’s internal system. Create bookings and or rental orders. Track and maintain current calibration records.
  • Coordinate vehicle maintenance.
  • Serve as a resource to others in the resolution of office queries.
  • Keep the office neat and tidy.
  • Adhere to Health, Safety, Security and Environmental protocols.
  • Assist with a wide range of other administrative duties to support the Kelowna office and the BC region, such as updating notice boards, coordinating office activities, and providing support to and relief for other administrative staff.

  • Ability to manage internal/external relationships and resolve problems within the office environment;
  • Ability to manage multiple tasks and activities, ensuring priorities are established and results achieved;
  • Detail-oriented with a sense of pride in quality work;
  • Intermediate knowledge of Microsoft Word, Excel, Adobe, and Sharepoint;
  • Strong team player;
  • Excellent customer service skills to support both internal and external clients;
  • Good problem solving skills;
  • Ability to work with little supervision and make decisions with confidence and in the best interest of Golder and the Kelowna Office;
  • Pleasant, courteous, patient and discrete manner;
  • Well-groomed, professional appearance;
  • Certificate or Diploma from an accredited program or College;
  • Minimum two years’ experience in a professional services environment would be an asset;
  • Intermediate level IT skills would be considered an asset.
